Return Policy

M1 Technologies supplies IT hardware, software, licences and related equipment across Namibia. This policy sets out what happens when something you bought from us is faulty, and why we do not take products back for any other reason. It applies to every sale made by M1 Technologies unless we have a signed written agreement with you that says otherwise, and it forms part of our Terms and Conditions.

All products sold by M1 Technologies are final. We do not accept returns, exchanges or refunds because of a change of mind, an order placed in error, or an item that is no longer needed. The only products we take back are those that are defective from the factory, and those are handled through the manufacturer's warranty.

Stock is ordered against confirmed orders and paid invoices, and a large part of it is brought in specifically for the client. Once an item has been opened or has left our premises, our suppliers will not credit us for it and it can no longer be sold as new. Our pricing is set on that basis.

A product that fails because of a fault in the way it was made is covered by the manufacturer's warranty. The warranty period and its terms are set by the manufacturer and not by M1 Technologies. The period that applies to your item is stated on your quotation or invoice, and we will confirm it in writing if you ask. We log the claim with the supplier or manufacturer on your behalf and follow it through until it is closed. Whether the item is repaired or replaced is the manufacturer's decision.

Test every item as soon as you receive it. If a product fails or shows a manufacturing defect within 7 days of delivery and you report it to us in writing within that period, we treat it as an out of box failure and press the supplier for a replacement rather than a repair. After 7 days the item follows the normal warranty process for the rest of its warranty period.

If what was delivered does not match the approved quotation or order in model, specification or quantity, the mistake is ours and we correct it at no cost to you. Report it within 7 days of delivery, with the item unused and in its original packaging.

Check the packaging before you sign for a delivery. Visible damage must be noted on the delivery note at the time of delivery and reported to us the same day. We cannot lodge a transit claim once a clean delivery note has been signed.

We are under no obligation to take back stock you no longer want. We may agree to do so as a goodwill gesture, but only where the item is sealed, unopened and in resaleable condition, only within 7 days of delivery, and only if our supplier will accept it back. Where we do agree, a handling fee of 15% of the invoiced value is deducted and the balance is issued as a credit against your account rather than paid out in cash. This is at our sole discretion and is not a right.

  • Physical damage, accidental damage and cosmetic wear.
  • Damage from power surges, lightning, water or other liquids, dust, heat or an unstable power supply.
  • Damage caused by misuse, incorrect installation or use outside the manufacturer's stated operating conditions.
  • Repairs, modifications or opening of a unit by anyone other than M1 Technologies or an authorised service centre.
  • Items with a removed, altered or unreadable serial number, or a broken warranty seal.
  • Consumables and wear items such as printer cartridges, toner, batteries, cables and media.
  • Software licences, subscriptions, domain names, hosting and digital products once issued or activated.
  • Special order, custom built and custom configured items.
  • Installation, labour, delivery and callout charges for work already carried out.
  • Loss of data.

Once a licence key has been issued, a subscription activated, or a domain or hosting account registered, it cannot be returned or refunded. This covers operating systems, antivirus, cloud subscriptions, hosting and any other digital product. Services that have already started or been delivered are dealt with under the refund clause of our Terms and Conditions.

Back up your data and remove passwords, accounts and company information before you hand any equipment to us. Warranty repairs and replacements usually involve reformatting or swapping out the unit. M1 Technologies is not responsible for data left on a device sent in for assessment. How we handle personal information is set out in our Privacy Policy.

Email info@m1.com.na or call +264 83 676 5795 with your invoice number, the serial number of the item, and a description of the fault, along with photos or a short video if the fault can be seen. We confirm the claim in writing and issue you a reference number. Return the item complete with its box, cables, accessories, manuals and any bundled items. Incomplete returns hold up the claim and are often rejected by the manufacturer.

Within Windhoek we collect the item from you at no charge. Outside Windhoek you arrange and pay for transport to our office at C/O Dr Frans Indongo & John Meinert Street, Windhoek. Keep your proof of dispatch. Items are at your risk until they reach us.

We inspect the item first and then send it to the supplier or manufacturer where a fault is confirmed. A valid claim ends in a repair or a replacement, decided by the manufacturer. Where no replacement is available, we may issue a credit against your account for the invoiced value. Cash refunds are not issued. If the manufacturer finds no fault, or finds that the damage falls under section 9, the item is returned to you and any assessment or transport costs charged to us are for your account. Turnaround depends on the manufacturer and on parts availability, and we keep you updated for as long as the claim is open.

This policy is governed by the laws of the Republic of Namibia and forms part of the M1 Technologies Terms and Conditions. Where the two differ on a point, the Terms and Conditions apply.
